Welcome to CoachShift. We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy explains what data we collect, why we collect it, how it is used and stored, and the choices you have. Please read it carefully before using our platform.

1Who We Are

CoachShift is a fitness coaching platform that connects professional fitness coaches with their trainees (clients). The platform is operated by KingsTech ("we", "us", or "our"). If you have any questions about this policy, you can reach us at:

CoachShift is available on iOS and Android and supports English, French, and German.

2Who This Policy Applies To

This policy applies to all users of the CoachShift mobile application, including:

  • CoachFitness professionals who manage clients, create training and diet plans, and track client progress.
  • TraineeIndividuals who receive coaching, complete training sessions, and log their health metrics.

Where certain data practices apply only to one role, it is clearly labelled above.

3Information We Collect

We collect information you provide directly, information generated through your use of the app, and technical information from your device.

3.1 Account & Identity Information All users

  • Full name, email address, and password (stored securely, never in plain text)
  • User role (Coach or Trainee)
  • Profile photo / avatar
  • Phone number (optional, for profile completion)
  • Gender
  • Language preference (English, French, or German)

3.2 Coach Professional Profile Coach

  • Years of coaching experience
  • Specialties (e.g. Weight Loss, Muscle Gain, HIIT, Yoga)
  • Professional titles (e.g. Personal Trainer, Strength Coach)
  • Certifications and awards
  • Professional biography

3.3 Trainee Health & Fitness Data Trainee

  • Date of birth
  • Height and weight (with preferred unit: cm/ft, kg/lbs)
  • Dietary preferences and fitness goals
  • Weight logs (timestamped entries with optional notes)
  • Daily step count logs
  • Custom habit logs (habit names, daily ratings, timestamps)
  • Training session results (exercises, sets, reps, weight, duration, notes)
  • Logbook entries (personal fitness journal notes)

3.4 Communication Data All users

  • Chat messages (text) between coaches and trainees
  • File attachments shared in chat (images, videos, audio recordings, documents)
  • Message timestamps, read receipts, delivery status, and message reactions
  • Typing indicators and online/last-seen status

3.5 Device & Technical Information All users

  • Device token (for push notifications via Firebase Cloud Messaging)
  • Platform (iOS or Android)
  • Authentication tokens (access and refresh tokens, stored in encrypted secure storage)
  • IP address (collected automatically when connecting to our servers)
Health and fitness data is considered sensitive personal information. We apply additional safeguards and it is only accessible to the trainee and their assigned coach.

4How We Use Your Information

We do not sell your personal data to third parties, use it for advertising, or share it for purposes beyond those described in this policy.

5Device Permissions We Request

All permissions are requested only at the time they are needed and can be revoked at any time in your device settings. Revoking a permission may limit certain features.

6Third-Party Services

CoachShift uses the following trusted third-party services. Each operates under its own privacy policy.

Firebase (Google)

We use Firebase for push notification delivery (Firebase Cloud Messaging). Google may process your device token in accordance with Google's Privacy Policy.

Stripe

Subscription billing for coaches is processed through Stripe. CoachShift stores only your Stripe Customer ID and Subscription ID. We do not store or have access to full payment card numbers. Stripe's data practices are governed by the Stripe Privacy Policy.

YouTube & Vimeo

Exercise videos may be embedded from YouTube or Vimeo. When you play these videos, the respective platforms may collect usage data subject to their own privacy policies.

7How We Share Your Data

We share your data only in the following limited circumstances:

  • Between coaches and their trainees: Coaches can view health metrics, training history, and progress of assigned trainees.
  • Service providers: We share minimal data with Firebase and Stripe solely to operate the features described above.
  • Legal obligations: We may disclose data if required by law, court order, or to protect rights, property, or safety.
  • Business transfers: In the event of a merger or acquisition, your data may be transferred. We will notify users of any such change.

We do not sell, rent, or trade your personal data to any third parties for their own marketing or commercial purposes.

8Data Retention

We retain your personal data for as long as your account is active or as needed to provide our services. Specifically:

  • Account data is retained until you request deletion of your account.
  • Health and fitness logs are retained for the lifetime of your account to power progress tracking features.
  • Chat messages and attachments are retained while the coaching relationship is active and for a reasonable period afterward.
  • When you delete your account, we will delete or anonymize your personal data within 30 days, except where required by law.

9Data Security

We take the security of your data seriously and implement the following measures:

  • Authentication tokens are stored in encrypted secure storage on your device.
  • Passwords are never stored in plain text.
  • All communications use HTTPS (encrypted transport) and secure WebSocket connections.
  • Access tokens are short-lived and automatically refreshed, minimising token misuse risk.
  • Sensitive health data is access-controlled: only the relevant coach–trainee pair can view it.

While we take reasonable precautions, no system is completely secure. In the event of a data breach that affects your rights, we will notify affected users in accordance with applicable law.

10Children's Privacy

CoachShift is not intended for use by children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

11Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request that we delete your account and associated personal data.
  • Portability: Request your data in a portable, machine-readable format.
  • Withdraw consent: Where processing is based on consent (e.g. push notifications), you may withdraw via your device settings.
  • Object to processing: Object to certain types of data processing, including profiling.

If you are located in the EEA or the UK, you also have the right to lodge a complaint with your local data protection authority.

12International Data Transfers

CoachShift operates servers that may be located outside your country of residence. By using the app, you acknowledge that your data may be transferred to and processed in countries that may have different data protection laws. Where such transfers occur, we take steps to ensure adequate protections are in place.

13Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page and, where appropriate, notify you via the app or by email. Your continued use of CoachShift after any changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
